The project coordinator will also prepare and present updates regularly to relevant management channels, ensuring that our goal of innovation is being achieved.Role and Responsibilities Leadership supportManaging their travel, expense report submissions and all required administrative tasks. (Arranging air/hotel/ground transportation while creating detailed travel itineraries)Management of calendar and scheduling requirements across multiple geographical time zones.Manage effective communication with Internal & External stakeholders/partnersPlan, coordinate, and ensure the schedules are followed. Act as a “gatekeeper” and “gateway”, creating win-win situation for direct access to the leader’s availability.Coordinate IT MT/LT level meetingsPreparing agenda and ensuring meetings are coordinated efficientlyProactive planning and execution of the tasks assigned, follow-up of the task of IT MT/LT Meetings, Strategy, Quarterly meeting and ensuring continuous improvement. IT events Co-ordinate and support Workshops, Town Meetings, Team Lunch & Dinner, OBL events, etc.Coordinate preparation and calibration meetings for Town Halls, R&R, etcVisitor ManagementEnsuring flawless planning and management of visitors to PIC.Publishing of the visitors’ travel schedule and actively managing their meetings with PIC Head, HR & FinancePlan and schedule PIC overview/strategy meetings with visitors and LTEnsuring visits run smoothly and manage all logistics flawlesslyCoordinating with EA team for demos ReportsCoordinate strategy status reports for the quarterly meetingsCoordinate collation/uploading of CTO MPR report on monthly basisRequired skills and qualificationsExcellent communication skills (written and verbal)Ability to build strong relationships, and manage multiple projects effectivelyMust be able to work cooperatively with other employees and managers to get things doneStrong organizational skills, time management skills, and ability to work under pressureBe an active team player Positive and proactive working attitude, and high ethical, integrity standards, and discretion in handling confidential informationAbility to learn and apply new skillsAbility to work under limited supervision; methodical and thorough with a focus to detail and completion of tasks.
